## Who we run workshops for

-   ### SaaS product teams facing a decision on a new module
    
    The backlog grows out of sales enquiries and support tickets, and every department holds its own version of what should be built first. The workshop brings those parties to one board and ends with a scope that product, sales and engineering all put their names to.
    
-   ### Business departments commissioning a system from an outside vendor
    
    Requirements travel by email between the business side and IT, so vendors price different readings of the same sentence and the bids stop being comparable. You leave the workshop with a single description of scope that goes to every team you ask, in identical wording.
    
-   ### Software houses quoting a project on a fixed budget
    
    The client's brief is a few slides, and the risk of scope drift stays on your side along with the margin. A session with the client turns those slides into a feature list with the edge cases settled, before anyone starts counting hours.
    
-   ### Teams adding AI to an existing product
    
    The board expects model-driven features, and the list of ideas grows faster than the criteria for choosing between them. In the workshop we establish which user tasks are worth automating at all, and where in the interface a model's decision has to be shown to a person.

## What makes our workshops different

-   ### The person running it is not a party to the dispute
    
    The facilitator has no vote in the decision and represents no department, so they can stop the loudest participant and hand the time to someone who has been silent for an hour. That role cannot be filled from inside the organisation, however good the intentions.
    
-   ### We talk to participants before the session, one at a time
    
    Ahead of the workshop we hold short one-to-one conversations with the people whose expectations of the product look contradictory. The disagreement then enters the agenda as a point to settle, instead of erupting halfway through day two.
    
-   ### We also record the options that were rejected
    
    The session documentation covers not only what you chose but what fell away - together with the reason and the person who gave it. Six months later nobody restarts the discussion from scratch, because the answer to "why didn't we go that way" is written down.
    
-   ### The brief is not written for our own team
    
    The workshop document describes scope and decisions in a form your IT department and any outside vendor can both price, and it does not assume we build it. If the session concludes that the product is not worth launching yet, that finding stays in the documentation too.
    

Process

## 21 days from brief to brief. For a single 1-2 day workshop - 10 days

1.  Day 1
    
    ### Brief
    
    A short online kick-off (30 min) - we agree the workshop goal, format (Discovery / Vision / Co-creation), participants, agenda. After: a list of materials we need from you.
    
2.  Day 2–3
    
    ### Preparation
    
    We analyse your materials, prepare the workshop scenario, an interactive Miro board, optionally a short warm-up task for participants.
    
3.  Day 4–15
    
    ### Running the workshop
    
    A session or series of sessions - online (Miro + Google Meet) or on-site at our office (Lublin) or yours. Recording with consent, transcription, real-time decision documentation.
    
4.  Day 16–20
    
    ### Synthesis
    
    The Wzór team works up the workshop materials - PDF/Notion documentation, user flow diagrams, a feature map, a next-steps plan, optionally an estimate.
    
5.  Day 21
    
    ### Presentation
    
    A 60-min follow-up session - we discuss the results, answer questions, agree next steps. After: editable files + a session recording.

## Three workshop formats. Three concrete outputs - not just a Miro board

-   ### Discovery Workshop 1-2 days
    
    A session with 5-12 people from your team - online or on-site. Product mapping, personas, customer journey, MVP prioritisation. Output: a Miro board + decision documentation + a next-steps plan.
    
-   ### Discovery Sprint - 3 weeks
    
    A full Product Discovery from brief to PoC. A week of analysis + two weeks of intensive work. Output: personas, a Customer Journey Map, information architecture, 5 core screens, a ready brief for developers.
    
-   ### Product Vision Workshop - 1 day
    
    A strategic workshop for a product committee - value proposition, KPIs, a 6-24 month roadmap. Output: a 5-10 page Vision + Strategy Doc + agreed-upon portfolio decisions.

Time and scope

## How long a workshop takes and what drives the quote

10–21 working days

Ten days is a single one- or two-day session, counted from the brief to the meeting with results; twenty-one days is a full Discovery Sprint with a week of analysis before the workshop. Time in the room itself is usually one to three days - the rest of the schedule goes to the scenario and the synthesis.

-   The format and number of sessions - from a one-day strategic workshop to a three-week Discovery Sprint
    
-   The number of parallel groups and facilitators for teams above twelve people
    
-   The input material you have - research, analytics and earlier scope documents shorten the preparation
    
-   The depth of the synthesis - a decision note or full documentation with a journey map and information architecture
    
-   The mode of work - an online session, a visit to your premises, or a series of meetings spread over several weeks

## Questions that come up most often

How many people take part in a workshop?

Typically 5–12 people from your product team (PM, designers, devs, business, optionally the end client). Above 12 - we split into groups with separate facilitators. Fewer than 5 - we tend to recommend a [1:1 consultation](https://wzor.biz/en/services/konsultacje-ux/) as a faster, cheaper format.

How much do workshops cost?

Every workshop is quoted individually - the price depends on the format (1-2 day workshop, Discovery Sprint or Vision Workshop), the number of participants, location and the scope of deliverables. After a short brief you get a concrete, flat-fee proposal within 48 hours. The fastest route: a free consultation.

Are workshops enough to launch a project?

In many cases, yes. After a team workshop or a Discovery Sprint you get scope documentation, personas, a customer journey and an estimate - enough for the development team to estimate and implement directly. Sometimes a client wants a full UX/UI design afterwards - then we continue seamlessly.

On-site at our office?

Yes. We work both online (Miro + Google Meet - with good facilitation it is nearly indistinguishable from on-site) and on-site - at our office in Lublin, in hubs in Warsaw, Kraków, Gdańsk or at client premises. On-site 1-2 day workshops often turn out denser and faster than online.

Do you sign an NDA?

Yes. We sign NDAs as standard for projects in finance, healthcare and the public sector. Our NDA template or yours - no problem, within 24h on our lawyer’s side.

Do you offer white-label for software houses?
